1. Who We Are

Cake Invoicing is operated by Cake Invoicing, LLC, a limited liability company registered in the State of Iowa, United States. You can reach us at support@cakeinvoicing.com. In these terms, “we” and “us” mean Cake Invoicing, LLC, and “you” means the person or business using the service.

2. Acceptance of Terms

By accessing or using Cake Invoicing, you agree to be bound by these Terms of Service. If you do not agree, do not use the service.

3. Description of Service

Cake Invoicing is a subscription web application for freelancers and small businesses. You track clients and billable tasks, generate PDF invoices, record payments against them, and send automated reminders for overdue invoices and upcoming work. The service is delivered entirely in your browser at cakeinvoicing.com. There is nothing to download and no physical goods are shipped.

4. Account Responsibilities

You are responsible for maintaining the security of your account and all activity that occurs under it. You agree to provide accurate information and keep it up to date. Accounts are for a single business; sharing one set of credentials across separate businesses is not permitted.

5. Subscription, Pricing and Billing

Access to Cake Invoicing is sold as a single subscription. There is one plan, on your choice of billing cycle: $14.99 per month, or $129 per year, in US dollars, billed in advance. There are no add-on modules, no upgrade tiers and no per-seat charges.

Your subscription renews automatically and your payment method is charged at the start of each billing period until you cancel. Each billing period runs for one month or one year from the day the subscription starts, matching the cycle you chose, and the next charge is taken on the day the period renews.

Payments are processed by Polar Software, Inc., which acts as the merchant of record and authorized reseller for every sale of Cake Invoicing. That means Polar, not Cake Invoicing, LLC, is the party that sells the subscription to you, handles your payment details, issues your receipts, and calculates and remits any applicable VAT, GST or sales tax. The charge on your card or bank statement will show Polar as the merchant. Your purchase is also subject to Polar’s buyer terms, available at polar.sh. Where tax applies to your location, it is calculated and added at checkout, so the total you pay may be higher than the price shown above.

We may change the subscription price. If we do, we will give you at least 30 days’ notice by email before the new price applies to your subscription, and you may cancel before it takes effect.

6. Your First 3 Invoices Are Free

Every new account starts free, with full access to the service. No payment method is collected and nothing is charged. There is no time limit: the allowance runs until you have sent 3 invoices.

Sending a 4th invoice requires a subscription. Everything else keeps working: you can still track clients and tasks, build drafts, record payments, and read and export everything already in your account. Subscribing happens on Polar’s hosted checkout, the first charge is taken at that point, and the subscription then renews on the cycle you chose as described above.

The free allowance is offered once per customer. We may decline to grant it again to an account that has already used one.

7. Cancellation

You can cancel your subscription yourself, at any time, without contacting us. Sign in, open Settings, and use Manage subscription in the Billing card. That opens the customer portal, where cancelling takes a single click. You can also update your card and download past invoices there.

Cancelling stops all future charges. It does not end your access immediately: your subscription stays active until the end of the period you have already paid for. No further payment is taken after you cancel.

When a subscription ends, your account moves to view-only rather than closing. You keep access to everything already in it, so you can still read your clients, tasks and invoices, download invoice PDFs, and export your full data. Creating and editing clients, tasks and invoices stops until you subscribe again. Your data is not deleted, and resubscribing restores full access.

8. Refunds

Charges already taken are not refundable. Your first 3 invoices are free, so you can evaluate the entire service, at no cost and with no commitment, before any money changes hands, and cancelling at any time stops the next charge. Because access continues to the end of a period you have paid for, we do not refund partial or unused months.

Nothing here limits any refund or cancellation right you have under the consumer law that applies where you live. If you believe you have been charged in error, contact us at support@cakeinvoicing.com and we will look into it.

9. Support

Support is included in the subscription. Reach us through the in-app helper or at support@cakeinvoicing.com, and we aim to respond within two business days.

10. Acceptable Use

You agree not to use the service for unlawful purposes, send unsolicited communications, or attempt to gain unauthorized access to systems or data. Abuse of the email sending features (invoices) may result in account suspension.

11. Data Ownership

You retain ownership of all data you enter into Cake Invoicing, including client records, tasks, and invoices. We do not claim any intellectual property rights over your content. You can export everything in a machine-readable format at any time from Settings, including after a subscription ends.

12. Our Brand and Content

Cake Invoicing and the Cake Invoicing logo are trademarks of Cake Invoicing, LLC. The mascot characters Slice, Crumb and Flour, and the artwork depicting them, are the property of Cake Invoicing, LLC. The text, design, graphics and software that make up this website and the service are owned by Cake Invoicing, LLC and are protected by copyright and other intellectual property laws. You may not copy, adapt or reuse them without our written permission. This does not affect your ownership of your own data, which is covered above.

13. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted access. The service may be temporarily unavailable for maintenance or due to circumstances beyond our control.

14. Limitation of Liability

Cake Invoicing is provided without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of the service. To the fullest extent permitted by law, our total liability for any claim relating to the service is limited to the amount you paid us in the twelve months before the claim arose.

Cake Invoicing is a record-keeping and billing tool, not an accountant. You are responsible for the accuracy of the invoices you issue and for your own tax and regulatory obligations.

15. Account Termination

You may delete your account at any time from the Settings page. Deleting an account is permanent and removes your data as described in the Privacy Policy; cancel your subscription first if one is active. We reserve the right to suspend or terminate accounts that violate these terms.

16. Governing Law

These terms are governed by the laws of the State of Iowa, United States, without regard to its conflict of law rules. Any dispute arising from them will be brought in the state or federal courts located in Iowa, and you and we each consent to the jurisdiction of those courts.

17. Changes to Terms

We may update these terms from time to time. If a change materially affects your rights, we will tell you by email before it takes effect. Continued use of the service after changes constitutes acceptance of the updated terms.
